Every plant protection application has to be recorded individually – all season long. What happens in the field during the day gets typed up at the desk at night.
More mandatory details since 2026
Authorisation number, crop with EPPO code, geo-reference of the field, sometimes the BBCH growth stage: the extended EU record-keeping rules demand far more detail than the old spray diary.
No signal out on the field
Many digital field record tools need an internet connection – which is exactly what is missing where the record should be made: in the middle of the field.
Electronic-only from 2027
From 1 January 2027, records must be kept electronically in a machine-readable format. The paper spray diary is being phased out – and gaps can cost fines and subsidy reductions.
What actually applies in 2026 and 2027
Record-keeping duties for plant protection products are not new – but they are getting more specific. The basis is Commission Implementing Regulation (EU) 2023/564, which applies across the EU, alongside national plant protection law.
Extended mandatory details
Every application needs additional details such as the authorisation number, the crop with its EPPO code and the geo-reference of the field. This applies to all professional users – with no minimum threshold.
Last year on paper
Until the end of the year, records may still be kept on paper. After that, they must be converted into electronic form within 30 days.
Electronic and machine-readable
From now on, electronic, machine-readable records are mandatory – for example as a structured data file. A photo of a paper sheet or a plain PDF is not enough.
Every application record needs:
- Date of application – for some conditions of use also the time
- Trade name of the product and its official authorisation number
- Application rate (litres or kilograms per hectare)
- Treated area in hectares
- Field with geo-reference (GPS or national field identifier)
- Crop with its EPPO code
- BBCH growth stage, where the authorisation is stage-dependent
- Name of the user
There is no central reporting portal: records only have to be presented to the competent authority on request – electronically and machine-readable – and kept for at least three years. Missing or incomplete records can lead to fines and cross-compliance penalties; the exact amounts depend on national law in each member state.
