4. Data Collection on This Website

Newsletter Registration

If you sign up for our newsletter, your information from the registration form (particularly your email address) will be stored by us for the purpose of sending the newsletter.

The data you enter will remain with us until you unsubscribe from the newsletter, revoke your consent to storage, or the purpose for data storage no longer applies.

Data processing is based on your consent (Art. 6(1)(a) GDPR). Consent is obtained through a double opt-in process.

Newsletter Management

For managing newsletter subscriptions, we use Listmonk, a self-hosted open-source software. Data is processed on our own server in Germany and is not shared with third parties.

5. Analytics Tools

Plausible Analytics

This website uses Plausible Analytics, a privacy-friendly web analytics service by Plausible Insights OÜ, Västriku tn 2, 50403, Tartu, Estonia.

Plausible Analytics does not use cookies and does not collect personal data. Only aggregated statistics are collected that do not allow conclusions about individual visitors.

The use of Plausible Analytics is based on Art. 6(1)(f) GDPR. Data is stored on servers in the EU.

6. The Bygmind App: On-Device by Default

The Bygmind mobile app is built to run entirely on your device by default. Voice recording, transcription, and report generation all happen locally. The app is fully usable without creating an account or logging in, and in that mode no content is transmitted to or stored on Bygmind's servers.

Optional data transfers – only if you switch them on

The following features are opt-in. None of them are required to use the app, and none of them are active unless you enable them yourself.

• Product analytics (voluntary, off by default): If you agree during onboarding, the app sends technical usage and crash data to help us improve the product – never recordings, transcripts, or report content. Legal basis: consent (Art. 6(1)(a) GDPR), which you can withdraw at any time in the app's settings.
• Your own AI provider (bring your own LLM): You can connect your own AI provider, or use an on-device model, instead of Bygmind's AI backend. Requests go directly from your device to the provider you choose; Bygmind has no access to this data. The privacy policy of your chosen provider applies.
• Your own backup or sync (e.g. Nextcloud, S3, Dropbox, OneDrive, Google Drive): Optional. Data travels directly from your device to the storage you choose; Bygmind has no access to it. The provider you select is responsible for that data.

Bygmind account & cloud (optional, paid SaaS): If you connect a Bygmind account, you can choose to sync data to the Bygmind platform. If you use Bygmind's own AI backend, requests are routed through our backend, are not stored there, and are forwarded to an AI provider based in the EU. For paid cloud features, we process billing and usage data. Legal basis: performance of a contract (Art. 6(1)(b) GDPR).

7. Bygmind App: Platform Services (Google and Apple)

The Bygmind app can be controlled by voice – on Android via Google Assistant (App Actions), and on iOS via Siri and Shortcuts (App Intents). Voice recognition is performed by the respective system service (Google or Apple); the app only receives the recognized command, or a dictated text parameter (e.g. a project name). The voice commands themselves merely trigger actions and pass no audio data to the app. The respective provider is responsible for processing the voice input (Google, Apple).

The app is distributed through the platform stores (Google Play and the Apple App Store). The data categories we declare to each store are disclosed there in the store's privacy information (Play Store "Data safety" and App Store "App Privacy"). Legal basis is Art. 6(1)(b) GDPR. Use of these features is voluntary.

These platform services are optional add-ons. They do not change the on-device approach described above: the app's core functions – recording, transcription and report generation – are processed locally on your device by default.

8. Your Rights in Detail

Right to Information

You have the right to receive free information at any time about the origin, recipient, and purpose of your stored personal data.

Right to Correction

You have the right to request the correction of inaccurate or the completion of incomplete personal data.

Right to Deletion

You have the right to request the deletion of your personal data, unless there is a legal retention obligation.

If you use the app without an account, no data is stored on our servers – there is nothing for us to delete. You can delete individual content directly in the app at any time, and uninstalling the app removes all data stored locally on your device.

If you have a Bygmind account, you can exercise this right directly:

• Delete your Bygmind account and associated data — instructions and request form.
• Delete individual data without deleting your account — e.g. specific projects, voice notes or documents.

Right to Object

Where we process your personal data on the basis of our legitimate interests (Art. 6(1)(f) GDPR), you have the right to object to that processing at any time on grounds relating to your particular situation. If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights and freedoms, or the processing serves to establish, exercise or defend legal claims.

Right to Complain

Without prejudice to any other remedy, you have the right to lodge a complaint with a data protection supervisory authority if you believe that the processing of your personal data infringes the GDPR – in particular in the Member State of your residence, place of work, or the place of the alleged infringement.
